Privacy policy
Effective November 7, 2026 · Version 1.1
This policy explains what Amicalola Pros LLC, a South Dakota limited liability company ("Amicalola Pros", "AP", "we"), collects, why, who sees it, how long we keep it, and the choices you have. It covers amicalolapros.com, the homeowner request service, AP Leads, AP Receptionist, the AP Bundle, and our texts, emails and calls.
Plain summary: we collect what we need to connect you with a local pro or to run your pro account, we share a homeowner's details only with the up to 3 matched businesses, we do not sell personal information, and you can ask us to delete your data by email.
1. What we collect
From homeowners (request form or the AP phone line):
- first name, mobile phone number, zip code;
- street address, only if you choose to give it;
- the trade, what's going on, urgency and best time to call;
- your language choice (English or Spanish);
- the exact consent wording you agreed to, the time you agreed, and your IP address;
- how you found us (the ad, Google, a county page or direct), including UTM tags from the link you clicked;
- texts you send us (DONE, STOP, HELP and replies), and a report-a-problem submission with any photo you attach;
- if you call the AP line: a recording and transcript of the call.
From pros (local businesses):
- business name, owner first name, mobile number, business email, trade, service area, hours, owner's cell;
- license number and, when requested, a photo of the license card;
- payment card, stored by Stripe, not by us (we hold only a token, the last four digits and the expiry);
- lead, accept, won/lost, dispute, credit and billing history;
- login codes and dashboard activity;
- if you use AP Receptionist: call recordings, transcripts and summaries for calls to your receptionist number, call minutes, and forwarding test results.
From everyone visiting the site: server logs (IP address, browser, pages viewed, time), cookie-free analytics, and, only after you accept the consent banner, data collected by the Meta pixel and the Google tag on the thank-you page.
From prospects we contact: business name, owner first name if public, business phone, business email, trade and review count, taken from public business listings and state license directories.
2. Why we use it
- To match a homeowner request with up to 3 local businesses and send the lead.
- To send the texts and emails the service depends on (confirmations, lead alerts, follow-ups, billing notices, login codes).
- To run AP Receptionist: answer calls, make summaries, transfer emergencies, bill minutes.
- To bill pros, apply the lead floor and credits, and prevent fraud and abusive disputes.
- To verify licenses and respond to homeowner reports.
- To measure which ads and pages work, by county.
- To meet legal duties, including keeping proof of text-message consent.
We do not use your information to build a profile for third-party advertising, and we do not retarget homeowners who submitted a request.
3. Who sees it
- Up to 3 matched businesses. When you submit a request we send the matched businesses the trade, the problem, the town and the urgency. Your name and phone are shown only to a business that accepts the lead, and your street address only then and only if you gave it. Those businesses are independent; once they have your details their use is governed by their own practices and by our terms, which forbid reselling or re-marketing your information.
- Processors (companies acting on our instructions): Stripe (payments and card storage), Twilio (text delivery, phone lookup and phone numbers), Retell AI and its model providers (the AI receptionist's voice, recording and transcription, and the language model behind its answers), our hosting and database companies, our email company, and our accounting software. They may use your data only to provide their service to us.
- Advertising and analytics tools, only after consent: the Meta pixel and the Google tag, which fire on the thank-you page. Our page analytics are cookie-free and collect no personal information.
- A successor. If Amicalola Pros LLC is sold or merges, your information transfers to the successor under this policy.
- Law. When a law, court order or lawful request requires it, or to protect the safety or rights of any person.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
4. Text messages and calls
Texts are sent under the Amicalola Pros Alerts program described in our Text message terms. The consent wording on the request form is:
> I agree that Amicalola Pros LLC may text and call me at this number about my request, including with automated technology. Message and data rates may apply. Message frequency varies. Reply STOP to opt out or HELP for help. Consent is not a condition of any purchase.
A separate line under the box tells homeowners that up to 3 matched local businesses may call them from their own numbers about the request; those calls are not part of this text program.
We keep the wording, the timestamp and the IP address as proof of consent. Reply STOP to any text to opt out. Mobile phone numbers and text consent are never shared with third parties for their marketing. We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.
5. Call recordings
Calls to an AP Receptionist number and to the AP business line are answered by an AI assistant that identifies itself at the start of the call and says the call is recorded. We keep the recording and transcript to produce the owner's summary and call log, to improve the assistant's accuracy, and to resolve disputes. See the AI disclosure.
6. Cookies and consent banner
Essential cookies (your session, your form progress, your language) run without consent. The Meta pixel and the Google tag are blocked until you accept the consent banner; declining leaves the site fully usable. You can clear cookies in your browser at any time.
7. How long we keep it
· Data · Kept for ·
· --- · --- ·
· Homeowner request, consent record, texts · 3 years from the request, then deleted or anonymized (consent proof is kept as long as US texting law may require us to prove it) ·
· Pro account, billing and lead history · While the account is active and 7 years after, for tax and accounting records ·
· License documents · While the account is active and 1 year after ·
· Receptionist recordings and transcripts · 90 days, then deleted; the written summary stays with the call log ·
· AP business-line recordings · 90 days ·
· Report-a-problem submissions · 3 years ·
· Server logs · 30 days ·
· Prospect records · Until the prospect signs up, asks to be removed, or 12 months after the last contact ·
We keep data longer only when a law, a dispute or a legal hold requires it.
8. Your choices and rights
Anyone, in any state, may email hello@amicalolapros.com to:
- ask what personal information we hold about you and get a copy;
- correct it;
- delete it (we keep only what the law requires, such as consent proof and tax records);
- opt out of texts (or just reply STOP);
- stop recruitment emails (click the unsubscribe link in any one, or reply "unsubscribe");
- withdraw advertising consent (clear your cookies or decline the banner next time).
We verify requests by replying to the phone or email on file, answer within 24 hours, and complete them within 45 days. We never charge for a request or treat you differently for making one.
State privacy rights. Residents of California, Texas, Virginia, Colorado, Connecticut, Utah, Oregon, Montana and other states with consumer privacy laws may have additional rights to access, correct, delete, port and limit the use of their personal information, to opt out of sale, sharing, targeted advertising and profiling, to appeal a decision we make about a request, and not to be discriminated against for exercising those rights. We honor those rights for every resident of every state through the same email. We do not sell personal information or share it for targeted advertising, so there is nothing to opt out of on that point. California residents: we have not sold or shared personal information in the past 12 months; the categories we collect are listed in section 1 and the purposes in section 2. To appeal a decision, reply to our email with "Appeal" in the subject and we will respond within 45 days.
Authorized agents may submit a request on your behalf with proof of authority.
9. Children
The Service is for adults. We do not knowingly collect information from anyone under 18. If you believe a minor has given us information, email us and we will delete it.
10. Security
Data is encrypted in transit and at rest. Payment cards are handled by Stripe and never touch our servers. Access to homeowner and pro data is limited to the people and systems that need it to run the Service. No system is perfectly secure; if a breach affects you, we will notify you as the law requires.
11. Where data is stored
Our servers and processors are in the United States. If you use the Service from outside the US, your data is processed in the US.
12. Changes
We may update this policy. The date at the top changes when we do, and material changes to how we use data are emailed to pros and shown on the site before they take effect.
